1. Who we are

Revivio is a till, stock and shop-floor app for second-hand and vintage clothing shops. It is operated by Revivio, a company registered in England and Wales under company number 16609155, whose registered office is at 3rd Floor, 86-90 Paul Street, London, EC2A 4NE, United Kingdom (“Revivio”, “we”, “us”).

For the personal data of people who use Revivio to run their shop, we are the controller. For the personal data of a shop’s own customers that a shop records in Revivio, the shop is the controller and we act as its processor (see section 4).

2. What we collect

Information you give us

  • Account details: your name, email address, phone number (if you add one), password (stored only in hashed form), and your role in the business.
  • Business details: shop name, locations, VAT registration details and the settings you choose.
  • Stock records: item names, brands, categories, sizes, photos you take of items and labels, purchase costs, ticket prices, intake records and suppliers you enter.
  • Sales records: what was sold or refunded, when, at which location, the amount and the payment type (for example card or cash).
  • Schedule entries: events and notes you add to the calendar.
  • Messages to us: anything you send when you contact support.

Information collected automatically

  • Device and app data: device model, operating system version, app version, language and time zone.
  • Diagnostics: crash reports and performance logs, used to find and fix problems.
  • Usage data: which screens and features are used, so we can improve the app. This is linked to your account but never used to track you across other companies’ apps or websites.

Our website

Our website doesn’t use cookies, analytics or advertising trackers. Like any website, our hosting provider records basic technical information, such as your IP address and browser type, to keep the site secure. Our fonts are served by Google Fonts, which receives your IP address when the page loads. If you email us, we use what you send only to reply.

Device permissions

  • Camera: used only when you choose to scan a barcode or QR tag, or photograph an item. Photos are uploaded only when you save them to a stock record.
  • Photo library: used only when you choose to attach an existing photo to an item.

You can turn these permissions off at any time in your device settings. The rest of the app will keep working.

Payment card data

Revivio does not collect or store full card numbers. Where card payments are taken, they are handled by the payment provider your shop uses, and we receive only a payment reference, the amount, the result and, where provided, the card type and last four digits.

4. Your shop’s customers

Shops can record details about their own customers in Revivio, such as a name, phone number or email for a receipt, refund or reservation. We process this information only on the shop’s instructions, to provide the service to the shop. We don’t use it for our own purposes or contact those customers.

If you are a shop’s customer and want to access or delete your information, please contact the shop directly. If you contact us, we will pass your request to the shop.

5. Who we share it with

We share personal data only with service providers that help us run Revivio, under written contracts that require them to protect it to the same standard as this policy and to use it only to provide their service to us:

  • Cloud hosting and database providers, which store app data.
  • Email delivery providers, which send account and service emails.
  • Crash reporting and analytics providers, which help us find bugs.
  • Image-processing providers, which help power Photo match.
  • Payment providers, which take card payments and handle subscription billing.

A current list of these providers is available on request. We may also disclose information where the law requires it, to protect the rights and safety of our users or others, or to a buyer if Revivio’s business is sold. In that case this policy would continue to apply.

6. How long we keep it

  • Account, stock, sales and schedule data: for as long as your account is open.
  • After you delete your account: we delete or anonymise your data within 30 days. Backups are overwritten within a further 90 days.
  • Billing and transaction records we must keep by law: up to 6 years.
  • Diagnostics and logs: up to 90 days.
  • Support messages: up to 2 years after the conversation ends.

Shops are responsible for keeping their own records for tax purposes. Export anything you need before you delete your account.

7. Your rights and choices

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • correct data that is wrong or incomplete;
  • delete your data;
  • restrict or object to how we use it;
  • receive your data in a portable format;
  • withdraw consent at any time, where we rely on consent.

To use any of these rights, email skye@revivio.ai. We will reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

8. Deleting your account

You can delete your account and its data at any time from inside the app: go to Settings → Account → Delete account. You can also ask us to do it by email. The support page has step-by-step instructions.

9. Security

Data is encrypted in transit and at rest. Access inside Revivio is limited to the people who need it to run the service. No system is perfectly secure, so if we ever have a breach that affects your data, we will tell you and the regulator as the law requires.

10. Children

Revivio is a business tool for people aged 18 and over. We don’t knowingly collect personal data from children. If you think a child has given us personal data, contact us and we will delete it.

11. International transfers

Some of our service providers may process data outside the UK. When they do, we use safeguards approved under UK law, such as adequacy regulations or the International Data Transfer Agreement.

12. Changes to this policy

We may update this policy. We will change the effective date above and, if the changes are significant, tell you in the app or by email before they take effect.
